Frequently Asked Questions

Everything you need to know about FindMeetingTime

FindMeetingTime is an online scheduling tool to easily coordinate a group of people for identifying the best meeting time for everyone involved in an event. Create a poll with your available time slots, share the link, and see when everyone can meet. In addition to confirming individual time slots, each participant can mark up to 3 time slots as preferred time slots.

There is a free plan that lets you create 1 event per month with up to 20 voters. For more events (up to 30/month) and more voters per event (up to 50), you can upgrade to Pro for $2.99/month or $19.99/year.

We offer a 14-day money-back guarantee on all subscription payments. If you're not satisfied with FindMeetingTime Pro for any reason, simply email refunds@findmeetingtime.com within 14 days of your purchase to receive a full refund. See our Refund Policy for complete details.

No. FindMeetingTime is completely independent of your calendar. You manually select the time slots you're available, rather than syncing with Google Calendar, Outlook, or any other calendar service. This keeps things simple and private — we never access your calendar data.

Yes! Once a meeting time is finalized, both the host and participants can download a calendar file (.ics) that works with Google Calendar, Apple Calendar, Outlook, and more. You get the convenience of calendar integration without giving up access to your private calendar.

You have three options to create an account:

  • Google Sign-In — One click using your Google account
  • Email & Password — Create a traditional account with your email
  • Magic Link — Enter your email and receive a sign-in link (no password needed)

No. Participants can vote on meeting times without creating an account — they just need to enter their name and email. Only event hosts need to sign in to create events.

Sign in, enter your event name, select available dates and time slots, and click "Create Event." You'll get a shareable link to send to participants.

Yes! You can invite co-hosts by email. Co-hosts can:

  • Edit event details (title, description, time slots)
  • Add and manage contribution items (for potlucks)
  • View all votes and participant information
  • Finalize the event

Co-hosts receive an email invitation and can accept it whether or not they already have an account. Events they co-host don't count against their own event limits.

For potlucks, parties, or any event where people contribute items, you can enable a contribution list. As the host (or co-host), you can add items people should bring — like "Chips & Salsa" or "Paper plates" — organized by category (Food, Drinks, Desserts, Supplies, Other). Participants can then claim items they'll bring, so everyone can see who's bringing what.

Yes. As the event host, you can see exactly who voted for each time slot, making it easy to pick a time that works for the most people.

Every participant can see other participant's names, but not their email address or what time slots they voted for.

Yes. Time slots are displayed in each participant's local time zone, so there's no confusion about when the meeting actually is.

FindMeetingTime works in any mobile browser — no app download needed. The interface is fully responsive and touch-friendly.

Yes. As a host, you can choose how you want to be notified when someone votes:

  • Immediate — Get an email for each new vote (default)
  • Daily Digest — Receive one summary email at your preferred time
  • Off — Disable vote notifications entirely

You can set different preferences for each event you host.

Yes. We only collect the information needed to run your scheduling poll. We don't sell your data or show ads. See our Privacy Policy for details.

FindMeetingTime has no ads, a cleaner interface, and doesn't require participants to create accounts. Doodle's free tier shows ads and has more limited features.

Calendly is for booking time on YOUR calendar (1-to-1 scheduling). FindMeetingTime is for finding a time that works for EVERYONE in a group (group scheduling polls). Plus, FindMeetingTime doesn't require calendar access — you're always in control of your availability.
